WhatsApp messages that follow every lease deal through HubSpot
Car lease brokerage · Netherlands · WhatsApp Business
The story
What changed
Fixjelease arranges car leases for Dutch businesses and runs sales in HubSpot. They wanted WhatsApp updates to go out on their own as each lease deal moves, without anyone copying messages by hand.

Also used
Meta WhatsApp Manager
Before
No WhatsApp templates existed in Meta, messages went out by hand from the inbox, and only 0.89% of contacts had a number in the field HubSpot sends WhatsApp to. There was no record of who had agreed to receive messages.
After
Six Dutch templates go out automatically when a deal reaches the matching stage, only to contacts who opted in, with the consent date and legal basis saved on the contact.
How it works
From a new lead to a WhatsApp message
Two contact workflows prepare every lead. Two deal workflows send the message for the stage the deal has just entered. HubSpot checks opt-in, number and quiet hours before anything leaves.
01 · Trigger
A lead comes in
From the Meta lead form, the website form, or added by hand.
02 · Action
Phone number normalisation
Formats the number as +31 and writes it to the WhatsApp phone field. Ran once over 987 existing contacts.
03 · Action
Consent capture
When WhatsApp consent is ticked: saves date and legal basis, and opts the contact in.
04 · Branch
Sales moves the deal
The workflow branches on the new stage and picks its template.
05 · Check
HubSpot checks before sending
Opted in for this message type, number filled, and between 08:00 and 19:59 for the contact. Outside those hours it waits.
06 · Result
Meta delivers the message
From the Fixjelease.nl business number, greeting the lead by first name.
Stage map
Which message goes out at which stage
Six of the stages in the sales pipeline send a message. Lead and voicemail messages are Utility templates. The two referral messages promote a reward, so Meta classes them as Marketing and HubSpot only sends them to contacts with promotional opt-in.

The small gap between the last two bars is numbers HubSpot could not read as a valid phone number. Those need fixing by hand.
The build
What I built
In the order the work was done.
Stack: HubSpot workflows, WhatsApp templated messages, Meta WhatsApp Manager, contact properties, HubSpot forms.
01Six Dutch WhatsApp templates written, submitted and approved by Meta: four Utility messages for new leads and missed calls, two Marketing messages for the €250 referral reward
02Templates published in HubSpot for automation, each greeting the lead by first name, with a polite fallback when the name is empty
03Phone normalisation workflow that writes every number to the WhatsApp field in +31 format, run once over 987 existing contacts
04Consent capture: two new contact fields, a workflow that saves date and legal basis and opts the contact in, and a re-permission form
05New lead and voicemail flow plus refer-a-friend flow, switched on with existing deals left out, so nobody got a message just because a flow went live
06End-to-end test on a real phone: all six messages delivered, quiet hours confirmed, test records removed
07Portal audit afterwards, with a delivery report and a plan for the next steps: consent on the Meta lead form, Dutch time zone, won and lost stages, and ad reporting
Result
Each lease deal now sends the right WhatsApp message at the right stage, with consent on record for everyone who receives one.
Next: Adding the consent question to the Meta lead form, so every new lead can receive the messages from day one.
